How to process orders as a field rep

In order to keep better organized on how process orders for your clients this is a step by step tool on how to take an order then get Operations to setup online for a customer so they can pay there order online and we can process it. We are not expecting you to setup the order in out shopping cart unless you want to learn how, but as a Field Rep this is the most important way to take and process an order for one of your clients.

1.    FILL OUT A SALES FORM - Part of your sales tools is the SALES FORM. You have a regular sales form and a sample form to show you how to fill it out. On the form you need the customer’s information including phone and email and date of the order , the order information with quantities and any discounts. And on the form for the Invoice Number as a Rep the invoice number will be your initials and a number starting with 1000. (Ex  JMA1000).  You will keep adding up on the invoice numbers each time you make an order. (Ex. 1000 to 1001).

2.    EMAIL THE SALES FORM TO OPERATIONS- You need email the sales form to operations for processing.  The Operations email is prints@mytruesource.com. In the subject line of the email you will put Order and then the invoice number so that we know what it is.

3.    CUSTOMERS ARTWORK – You send artwork for printing, publishing, web and graphic design, and advertising to the operations email (prints@mytruesource.com) or upload them to our website.  There is an upload form on each printing page,  but we do have a general form that you can use which is located at www.mytruesource.com/upload

4.    TRUESOUCE OPRATIONS WILL PROCESS YOUR SALES FORM – As soon as operations get the sales form we will create an online invoice in our shopping cart for customers to pay online. Operations will email the customer using the email that’s on the sales form with the link to where they can pay and instructions on how to process their payment online. You will be copied on the email (Blind Carbon Copy). As soon as the order had been made online everything will be sent to print or the service will be completed. You will also get a copy of the receipt from Truesource so you can see that the order has been paid for and to help keep track of your commissions on orders.

5.     WHEN THE ORDER HAS SHIPPED OR BEEN COMPLETED – If an order has been shipped you will be copied on the email with the tracking number so you can follow the order as it reaches your client and then you can follow up and make sure your client is happy.

 

How to SUBMIT A QUOTE

 

Quote forms are not the same as a Sales form for processing orders.  Quote Forms are for the customers to get a written quote from us, for you keep track of what you have quoted a customer. We want a copy of the quote and that can be sent to the operations email. We need a copy of this so that if a customer calls and say that they were quoted something we have proof of what you quoted the customer.

 How to submit a Quote.

 FILL OUT  QUOTE FORM – You will fill out a quote form for the customer and email a hard copy so they know what they are being offered.  You will save one for yourself and then you will email operations a copy of the quote and in the subject line of the email put “Quote” plus the name of the company and the date.  On the Quote Form you can just put the name of the company and the date with your initials so we know where the quote came from.  Look at sample sheet for reference.

ORDERS FROM CUSTOMER SERVICE 

If one of your customers is a wholesale client or premier client then they are allowed to order directly from our website and from customer service since they will be doing a lot of orders.  Sometimes it will easier for them to do that instead of finding you to fill out a sales form and submit it to operations. Remember Wholesale Customers and Premier Customers will have their discount automatically taken off before they checkout. We offer different ways for them to order

 Ordering Options

1.    OPTION ONE  - Having their Rep take the order and fill out a sales form.  If you do this method then it’s the same as your main way to take orders and you will follow the five steps on the first page.

 

2.    OPTION TWO  - Customer can call customer service or email us directly so we can take the order and set it up the order for them.  They can also send us the artwork directly through email or use our upload form on the website.  Operations will take care of the order and copy you on the emails so you know that the order was made.

 

3.    OPTION THREE  - Customer can order straight from the website and you will be copied on order through email.  Remember Wholesale Customers and Premier Customers will have their discount automatically taken off before they checkout.

 

4.    OPTION FOUR   - Customers can fill out a sales form just like you would and submit it to you so you can forward it to operations.  You will have to show them how to do it and how to take their discount off on the sales form.   This is really just a last resort option. Most of the time Customers will use the first 3 options.

DAILY MARKETING FOR FIELD REPS

 

If you do these things everyday then you will find customers that want to order print supplies, web services, and advertising.  Part of being successful is reaching to potential customer’s everyday through the right marketing techniques. If you don’t try and reach to people then they will never buy from you. You can spend a couple of hours a day and get a few calls and emails a day from people that want to buy,  The more you reach out and interact with customers,  the more you leads you will get and the more money you will make!

1.    FREE online advertising

Put ads on these sites every day or every few days with your contact information. You will need to renew them ever few days.  These are free sites to get people to contact you about our services. These are

2.   Social Media Advertising

Post Ads on Social sites.  Use social media to let people know how you can save them money on printing and web services and advertising.  To make social media work for you, you have to most posts every day.

·         Facebook

·         Twitter

·        Linkedin

·        Google +

·        Yelp.com

3.   Email Marketing

Setup an email campaign. Email businesses ads about our wonderful savings such as companies with a lot of employees. You can email companies that advertise on Craig’s List and Backpage.com as well as Businesses on Facebook and Linkedin.  Make a goal to email 50 to 100 people every day.  You will also use email marketing to follow up on your current clients and advertise specials. You always want to follow up with clients because that’s how you get then to order more.

 

4.   Community Advertising

Find advertising in your community where you can post flyers, leave cards, and network with other businesses to promote what you do. You don’t have to spend money on advertising, advertise in your community. These are just a few things you can do

·   Post flyers on community Bulletin Board.

·         Let a business Leave flyers or cards at their business.

·         Get someone to pass out your cards if you promote them as well.

·         Put a car magnet on your car door. Let everybody see the specials that you can save them.

 

5.   Direct Marketing

The best form of marketing is always direct marketing.  Reach out to people and meet them one by one.  Whether you are going from business to business or talking to strangers you meet on the street, or even cold calling businesses, the more you reach out to people in person, the more opportunities you have to get new customers. You can leave information with the people you meet, but the most important part of direct marketing is to get their attention and want to talk to you about our services or get them to contact you again.

Get them to tell you everything they need to print, make a list for a quote!

 

2.    What kind of items does your company usually print?

See if you can get them to make more than one order or get other items to promote their business

 

3.    How many of each item would you like to print? 

Quote different amounts and prices!  Give the customer options based on their budget.

 

4.    How often do you need stuff printed?

It’s always a good idea to find out how often they print stuff so you know how often to follow up with them about their printing needs and hopefully get them to more. We want to help businesses succeed with print media and like all advertising, the more you do the better your chances are for success.

 

5.    Is the artwork ready for print or do you need design help?

Quote a Design Fee:  $35- Hour   and $20 ½ Hour.   I will give discounts on the design fee depending on how the order is. If All I am doing is adding text to a background color like on a vinyl banner then I will do it for free.  If I have to put the Business Card together based on the information they send to me and the logo then it’s $10.00

 

6.    Does your company need a website and web hosting?

Find out if they have a website and need web hosting. If they have a website then maybe they would like to switch and get a better price on web hosting. We offer different rates based Monthly, Quarterly, Semi-Annual and Yearly.  We will give them 2 free months of Web Hosting for switching over.

7.    Did you know that we Price Match?

We will price match other companies to get the order even beating them on the price by $1.00, but the printing has to be the same exact specifications such as the same paper stock and size. If we do have to Price Match then it does affect the commissions because our profit margins are lower. Commission percentages will be based on the profit margin instead of the total order. Very rarely do we have to do this.

 

SALES SCRIPT FOR POTENTIAL CUSTOMERS

 

 How to talk to people about selling them printing, web, and advertising services, is important  this is a script we put together that you can use in order to talk to businesses about our services. If you use this script then you will have no problem getting customers.  You don’t have to ask these questions exactly as they are on the sheet, but these are the basic questions you need to ask to in order to get in the door and get customers listening to you and of course potentially buying from you.

1.    Hello, I’m (Marcus), who is in charge of getting your business cards and other printing done?  If you get to talk to that person ask question #2 and then go to question 4.  if you don’t get to talk to that person then ask question #3

 

If you are having trouble with the first question and people wanting to talk to you then you can use this question

                person in charge of printing? If you get to talk to that person ask question #2, if you don’t

2.    It’s great to meet you, I don’t want to take up to much of your time, but if I could save you money on your printing needs including giving you free business cards would you be interested in talking with me. (If they object) Let’s talk on a later date. I am available by phone and in person. If they want to hear more then tell them about our FREE Business Card Promotions – 250 free cards on orders $50 or more, 500 free cards on orders $100 or more, 1, 000 cards on orders of $200 or more! You want to tell them about our everyday prices on printing and find out about their printing needs. They may need to order more than business cards.

What you need to do to make this work

Shipping and Handling Policy

 

We do charge shipping prices because we are an online store and do not allow STORE PICKUP at our corporate office - will be drop-ship your order  you.  Depending on how much you spend with us or for certain promotions, we will offer free shipping to our customers.  Our regular shipping format is UPS ground so our shipping prices are based on their prices. We use what we call a table format for shipping prices, it’s based on the weight of the packages, which is based on the shipping prices of UPS.  Orders of up to 1,000 print units can take 3  to 7 business days to process, orders of 2,500 print units or more can take 7 to 9 business days to process, and orders of 20,000 print units or more can take 10 to 14 business days to process.
